Not hiring a day of coordinator?
Please keep in mind these duties / needs for you to have a smooth day:
Day of duties for family & friends:
Please think about who to assign for applicable each item:
Supplies:
-Scissors, tape, glue gun, etc.
-Plates, napkins, forks for sweets
General:
-Someone to pin boutonnieres and distribute flowers:
-Get water for the couple
-Be a ‘runner’ / main contact with vendors – especially the DJ and venue
-Setup and take down décor
-Someone to coordinate / wrangle family for formal photos
Setup:
-Someone to setup the presentation ‘cutting’cake – along with it’s cake topper, flowers, etc.
- Setup personal items (guestbook, card box, sweets area, cake knife, etc.)
-Setup any personal items centerpieces
-Setup of arch or ceremony focal point
Ceremony:
Reception:
-Someone to let the DJ know when the wedding party is ready for Grand Entrance – help coordinate entrance
-Someone to take care of replenishing sweets, cut cake, setup sweets, etc.
-Someone to take care of the bride and groom’s needs
-Someone to ‘watch the clock’ to coordinate activities with DJ (i.e. cake cutting, toasts, dances, bouquet toss, etc.)
-Someone to take cards and gifts to a designated vehicle – we can lock up for a couple hours while dancing is going on, but they need to be taken home at the end of the night.
End of night:
-Someone to take home perishable items. Left-over food, left over cake/sweets, flowers that are being saved.
-Someone to box up personal items and décor items (n/a for you – you can pick up on Monday)

- Someone to let the DJ know when to start the seating of family music
- Someone to line up family and wedding party for the ceremony
- Someone to release the rows after the ceremony (this is needed to make sure everyone doesn’t run to the front and make a traffic jam)
- Someone to oversee turnover if we are using the same ceremony and reception space (i.e. setting up the head table, putting bouquet on tables, directing stacking of chairs)
