Pre-Wedding Activities
Your Timeline is the blueprint for your reception!
Preparing for your special day:
Our pre-work package includes: creating the timeline, confirming all vendors, diagram creation, timeline review, final walk-though, & rehearsal coordination.
Meetings & Pre-Work Included:
• Timeline Meeting: Out of Box to work with you to make sure you are prepared with contracts and other key information from your vendors so that you are prepared to have the Timeline meeting. This meeting lasts two hours and will focus on the creation of the detailed list of duties and contract obligations from your vendors. You will receive a list of what to do to prepare for your timeline meeting. Also, you will receive a final walk-though at the venue with the timeline, the caterer, and any other key vendors.
• Rehearsal Coordination: Out of Box will lead the rehearsal of the ceremony, where to stand, how to walk in/ walk out. Will also work with the officiant to help with any ceremony details, and the musicians to discuss timing.
• Other In-person Meetings: Depending on your needs, Out of Box can meet for monthly planning meetings as needed. We suggest joining the catering, décor, photographer, and DJ/band meetings. Most meetings are 2 hours and we can either add hours on the initial invoice or invoice after the meetings.
Additional in-person meetings are $50 an hour. Please let us know if you’d like to arrange for more meetings.
• Other: Out of Box offers a full list of additional services such as vendor referrals, diagram creation, invitation, program, and menu design, décor rentals, and staffing as needed. Please contact us for a quote at 515-710-6658 or [email protected]
Wedding Day Activities
You worry about your vows and let Out of Box Weddings worry about everything else!
The Team:
Lead Coordinator: $50 an hour (hourly rate discounted)
Assistant Coordinator: $30 an hour per coordinator*
Minimum 8 hours: $640 minimum for day of coordination. (amount based on hours needed)
It’s a team effort and no one coordinator can be in two places at once. Because of this, we do have the following staffing requirements. For weddings 150 guests or less, we require 1 Lead Coordinator and 1 Assistant. For Weddings over 150 guests, we require 1 additional Assistant Coordinator for every 100 (ex.300 person wedding would be 1 Lead Coordinator and 2 Assistant Coordinators). An average day of wedding needs are usually 8-10 hours, and we will always ask permission before staying longer.

Out of Box can coordinate the ceremony and will attend the rehearsal (hourly rate applies)
• Our Coordinators will assist with all wedding day activities and manage the timeline.
• Assist the couple and the and bridal party
• Provide wedding day emergency kit
• Coordinate with wedding day vendors and assist, if needed
• Distribute payments to vendors
• Organize and setup any photos, meal placecards, bridal portrait, goblets, cake cutting items, guest book, and pen at ceremony and/or reception
• Deliver drinks, food, and snack trays to bridal party prior to event (cost of items to be incurred by client)
• Distribute (and pin) wedding flowers
• Bustle wedding gown (must meet ahead of time to be shown)
• Oversee venue decor to ensure that setting is laid out in keeping with couple's wishes
• Follow through during ceremony and reception to ensure that timeline is followed according to plan
• Coordinate all reception activities
• Troubleshoot when needed
• Transport Gifts and Cards to a designated spot (mileage may apply)
• Transport needed items from ceremony to reception. Flowers to be transported by Florist.
• Sunday access for pickup of personal items (included)
• Add $50 per hour for Friday or early Saturday access for decorating (2-hour minimum)
Package Total:
Total: $1’240 (package usually $1800)
Additional meetings $100 per meeting.
Friday night access add $100
*Note: Holidays add $500 (NYE, Christmas, and Thanksgiving). Additional labor for transferring chairs, moving rented items, extensive decorating, bartending, serving, and any other labor beyond coordination will be billed based on an hourly rate depending on the task. Please email for a quote on labor. Package price of $1240 is only for Sticks or The Conservatory clients.

- In-person Meetings: Other in-person meetings leading up to the wedding is calculated at $50 per hour as you need them. Minimum 2 hours per meeting.

- After the first draft is approved, Out of Box will confirm all details and information with the wedding vendors involved and any changes of wedding plans and details will be updated on the timeline immediately.
- We will assist to develop the wedding day itinerary for the wedding party and family and help create an email or letter to give them the rundown of obligations and times
