Process for Changing Dates


Below are the steps to changing dates.  Please keep in mind following:
- Vendors may be booked on most Saturdays (even if the venue is open) - you may need to move to a Friday or Sunday to find a date where all your vendors can still be part of your day.
- You may need to pay your vendors based on their current payment schedule even through you date has been moved (or a percentage of your payment).  
- If you extend out over a year there may be a fee with some vendors to move the date depending on how this will adjust their work. 

Step 1:  Decide what months you are open to adjust to (fall 2020 / winter 2020 / 2021).  Keep in mind you may need to pick a Friday or Sunday in order to have all your vendors on your new date.

Step 2:  Email your venue for a list of open dates in the timeframes you've picked.  Don't forget to them know you'd like Friday/Sunday dates too.

Step 3:  Email your planner/coordinator the dates from your venue and have them put these dates in a form to survey your vendors.  See Example 1 below.

Step 4:  Update your Vendor List with emails so that you coordinator can email each vendor to request them to fill out the survey so we can see easily see who is open on which days.  

Step 5:  Once all vendors have responded review the spreadsheet to find which days are open by all vendors (or by the most).  See Example 2 below

Step 6:  Pick your new date.  Have your planner/coordinator email all vendors about the new date.

Step 7:  Sign your updated agreement with you venue and vendors.  Not all vendors will send an updated agreement.
